Executive Assistant

Closing date: 31 Oct 2017
JOB SUMMARY:
The purpose of the position it to provide executive support to the director and SMT of the Southern Syria Unit.

RESPONSIBILITIES AND TASKS:

Job Responsibility #1: Provide executive support to the Southern Syria director
•Completes a broad variety of administrative tasks for The Southern Syria director including:; supporting the preparation of TERs, PARs and other documentation completing expense reports; composing and preparing correspondence; arranging travel plans, itineraries, and agendas
•Support in the arrangement of travel, meetings and events on behalf of the director, where needed in collaboration with the logs/procurement team
•Support the director in timely arrangement and documentation of annual performance planning processes (APPA’s)
•Support with other documentation as needed
•Support internal communication as need be with RMU, other departments and CARE Syria hubs, demonstrating leadership to maintain credibility, trust and support with senior management

Job Responsibility #2: Provide executive support to the SMT

•Support the preparation of senior management team (SMT) meeting’s agenda, attend and prepare the meeting minutes for sharing with SMT members

•Follow up with individual SMT members on action points
•Documentation of planning processes for the SMT; including AOP, individual plans etc
•Assist the SMT in the quarterly revision of the “Functions, Performance Standards, Indicators, Assessment and Actions required” and other documentation for HQ and RMU
•Maintenance of files on key topics as required
•Provide administrative support to individual SMT members as needed and time allows

Job Responsibility #3: Support development of and review of documentation
•Support editing and layout of donor reports and communication documents where requested
• Preparation of reports to HQ; including support to collating information for sitreps and other updates
•Translate program documents from Arabic to English and English to Arabic when needed.
•Organize and file internal documentation and communication materials.

Job Responsibility #4 Other duties and Responsibilities assigned by the supervisor

QUALIFICATIONS

A. Education / Training
Required:
•Bachelor’s degree in Social Studies, Political Science, Business Studies or other relevant field.
Desired:
•Masters Degree in development.

B. Experience Required:
•Minimum 3 years related experience preferably with some experience in a UN agency or NGO
Desired:
•Experience in humanitarian aid, prior work on the Syria response

C. Skills Required
•Fluent communication in both Arabic and English
•Excellent written English and Arabic
•Work as team player with people from different cultural backgrounds
•Must be guided by sound ethical principles and transparency
•Good interpersonal skills
•Good numerical skills to maintain accurate records
•Flexibility and practical approach to the work, efficient and able to handle multiple responsibilities.
•Excellent & efficient in the use of word and excel programs
