Logistics officer
Job Purpose: The purpose of this role is to manage transport, warehouse & assets systems and provide specialist advice and/ or support to deliver an efficient, cost-effective and quality transport, warehouse and Assets services in Amman.
Key Responsibilities and Accountabilities
Transport and Vehicle Management
- Ensure that office vehicles are checked daily and road worthy before any assignment.
- Place logbook for each vehicle and monitor records for accuracy and completeness.
- Ensure that all Oxfam vehicles insurance is renewed and up-to-date.
- Maintain data and update records of all vehicles.
- Ensure rental contracts are well managed.
- Ensure that daily transport is organised.
- Maintain appropriate contracts with transportation companies and ensure all non-Oxfam drivers and transport companies hired for specific purposes know and follow Oxfam driving policies and procedures and are maintained up to Oxfam standards.
- Ensure that drivers’ testing is conducted and records of staff authorized to drive are maintained and kept up-to-date.
- Provide advice and support on vehicle repair and management to project offices.
- Establish regular service schedule and ensure proper maintenance is carried out by liaising with vehicle garage.
- Prepare reports of vehicle usage according to Oxfam GB guidelines on a monthly basis. Store/warehouse:
- Manage stock, data and tracking systems in accordance with Oxfam one tools and standard procedures.
- Coordinate with programme team and procurement officer and organize the loading/unloading of store goods when dispatching to projects sites.
- Work on customs clearance process to clear shipment and dispatch shipment when it is necessary.
- Prepare monthly report and submit to Country Logistics Manager.
Assets:
- Manage Oxfam Assets and update Assets & inventory register regular basis in HELIOS systems and maintain a register book for issuing of equipment /assets etc…
- Ensure all assets are tagged properly.
- Prepare monthly Assets and inventory register and submit to Country Logistics Manager.
Procurement:
- Provide support to procurement department in procurement process through HELIOS systems.
- Provide back up support in absence of team member in logistics department.
Technical Skills, Experience & Knowledge
Essential
- Degree in Supply Chain Management, Management, Accounting or related disciplined with 2–3 years experience in Transport, warehouse/asset management. A combination of relevant trainingand experience may be considered in lieu but not vice versa.
- Previous experience in producing high quality reports.
- Experience and/or demonstrable knowledge of Transport, warehouse and asset management
- Attention to detail and excellent numeric accuracy.
- Ability to keep clear and concise records.
- Proven ability to manage competing tasks and to prioritise and produce high level output consistently.
- Excellent interpersonal skills and ability to work on own and within multi-cultural teams.
- Excellent computer skills (to include experience in computerised finance processes) and ability/preparedness to quickly learn new systems and software.
- Ability to plan with good organizational skills, including prioritisation and ability to work under pressure.
- Initiative and ability to follow up on issues.
- Good written and spoken English & National language.
- Computer knowledge, MS word and excel.
- Desirable
- Previous experience with INGO/Humanitarian Organisation.
- Knowledge on vehicle Tracking and other communication systems.
