HR Archiving Volunteer
Assignment
The HR Archiving Volunteer will be mainly based at the Capital Office in Amman, but will also be supporting all HR departments at the bases (Al Azraq, Al Zaatari and Al Mafraq) as necessary; notably Zaatari and Mafraq base. He/She is managed by the HR team at Capital level.
The Archiving Volunteer is responsible for the preservation, organization and servicing archival material for HR files and documents
Location: Amman HR capital department.
Job Purpose
The HR Archiving Volunteer will be mainly based at the Capital Office in Amman, but will also be supporting all HR departments at the bases (Al Azraq, Al Zaatari and Al Mafraq) as necessary; notably Zaatari and Mafraq base. He/She is managed by the HR team at Capital level.
The Archiving Volunteer is responsible for the preservation, organization and servicing archival material for HR files and documents.
Objectives
- To standardize the manner in which documents indexed/catalogued and how files are organized and stored.
- To file and store documents in a manner that they can be easily researchable in the archive and inside each department’s office.
- Support and enhance the capacity of ACTED staff in the management of daily ACTED HR documentation and archiving system.
- To develop archiving database for all exiting folders based on standard archiving methods.
- To upload staff contracts, attendance sheets, and personal documents to HOMERE software and support in phase 3 of the implementation.
Duties and Responsibilities
The work to be carried out entails the following:
- 1)Develop Documentation Classification and Archive Scheme
- Prepare archival records, such as document descriptions, to allow easy access to information.
- Organize archival records and develop classification systems to facilitate access to archival materials.
- Locate new materials and direct their acquisition and display.
- A classification scheme is key in the identification of documents and for facilitating their search. Documents should identifiable using ACTED labelling guidelines.
- 2)Develop soft copies for ACTED documentation only available in hard copy (HOMERE)
- Convert documents into electronic format (digitization) and store them into a shared folder with sub folders based on ACTED classification scheme.
- Create and maintain accessible, retrievable computer archives and databases.
- Bachelor degree of computer science, HR, database, or any other related field.
- Very good English and Arabic (written and spoken).
- Excellent communication skills.
- Ability to work under pressure.
- Good organisational and prioritisation skills
- Proficiency in Microsoft Office, Microsoft Excel.
