Office Administrator

Main responsibilities

  • Responsible for all MP Ops administrative duties and coordination with the head office.
  • Provide admin assistance to department head and staff members.
  • Responsible for the implementation of all office policies / rules and regulations / safety.
  • Organize and maintain office documents, systems, equipment and supplies and other operation tools.
  • Full control on company vehicle records, licence and permit, and maintenance.
  • Responsible for petty cash handling, collect and disburse funds from cash accounts, and keep records of collections and disbursements.
  • Involve in order processing for closing of invoices and scanning of delivery notes into the system. Also providing vital data to the operation team.
  • Issuance of all (LPO) local purchase order to the supplier upon request.
  • Monitor customer order in the system / pending and missed deliveries and provide periodic report accordingly.
  • Monitor budget and sales (manual – IFS – diver reports).
  • Handle telephone calls and transfer to the addressee.
  • Arrange meetings, taking minutes and keeping notes.
  • Liaise with other departments or external contacts.
  • Support other admin requirements in sites MCT, DOH, BHN as applicable.

Accountabilities

The position will be measured against:

  • Proper handling of all assigned administrative duties.
  • Turn-over of petty cash replenishment affecting the operations.
  • Timely attendance to the assigned tasks including adherence to the monthly reporting deadlines.
  • Integrity & accuracy of all assigned & maintained records.

 Qualifications

Mandatory requirements

  • Bachelor degree.
  • One year experience with similar related work.
  • Excellent command of the English language (spoken and written).
  • Proficient in computer applications.
  • Ability to work independently as well as in a team.
  • Systematic and accurate nature.
  • Proactive.
  • High level of attention to details.
  • Highly organized.

Additional preferences

  • Able to supervise and handle staff, can work under pressure and flexible on work schedule.
