WoS HR Officer- National Position – Amman base

Position: Wos HR Officer

Location: Amman

Reports to: WoS HR Manager

Duration: 6 months

Summary:

The HR Officer is responsible to provide office staff with HR support by acting as the liaison between Amman HR Department and the employees, ensuring smooth communication and prompt resolution of all queries.

Essential Position Responsibilities and Duties:

  • Follow up on attendance and vacation tracking through MenaPay (MenaiTech) on daily basis.
  • Perform a variety of general HR support duties; copying, scanning, printing, assisting in organizing of events, training and workshops, office running and document translation.
  • · Assist in distributing, collecting and delivering official documents between staff & the HR Department and vice versa, e.g. (medical insurance forms, official letters and other related documents whenever needed).
  • Collect and review the time-sheets for office staff after being collected and review the allocation
  • Ensure the proper and accurate tracking of leave.
  • Collaborate with the line managers and Syria HR Manager in the identification of available training and follow up of attendance records.
  • Participate, with the support of the Syria HR Manager and the RI’s Training Director, in the design of personnel development plans for WOS Turkey staff.
  • Monitoring all the processes and the approval of the CDs for the national staff, Turkey staff.
  • Ensure full coordination with Turkey HR team for processes & procedures
  • Following up on RI Excel/ Performance management system for Syria National staff in Jordan, send reminders, awareness sessions and provide utilization report.

Recruitment Process Support:

  • Handling hiring process activities such as posting jobs on website, reviewing applications and maintaining a spreadsheet on tracking an applicant. Be part of the interview panel for positions of officer and below.
  • Print and prepare hiring policies and forms for new hires in advance with the coordination with the relevant HR member.
  • Open hard copy files for new hires after double checking that all policies and required documents signed and delivered properly.
  • Support in entering new hires information and updating current staff information in the HR software, includes scanning related documents.
  • File interviewed candidates’ CVs alongside to their interview sheets (those who did not pass the interview) based on the position was interviewed for.
  • Prepare the contract for the new hires and get needed approvals
  • Arrange orientation day for new hires in collaboration with department heads and follow up on boarding process

Qualifications and Requirements:

  • BA degree in Business Administration or any related filed.
  • Two years of work experience as Administrative/Office Assistant or any similar role. Preferable in iNGOs.
  • Excellent knowledge in MenaPay and MenaMe software is advantage.
  • Excellent written and oral communication skills in English.
  • Proficiency with Microsoft Office (Word, Excel, and PowerPoint) and Outlook.
  • Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues.
  • Capable of working both individually and as part of a team.
  • Ability to work effectively in a fast-paced, stressful environment.
  • Flexible, willing to perform other duties and work irregular hours.
