Logistics & Procurement and Admin Officer

PURPOSE OF POSITION:
Provide day-to-day support on a wide range of Corporate Services tasks. The individual will support Amman based projects funded by international donors.
AREAS OF RESPONSIBILITY:
Logistics and Procurement
- Responsible for Logistic and Procurement activities, including but not limited to:
- Issuing RFQ, RFPs and other competitive tenders
- Drafting contractual documents
- Reviewing and providing guidance to project staff on Statement of Works**
- Ensure that procurement is carried out in a transparent manner and in compliance with ARK policies by staying informed of donor policies and procedures.
- Ensure accurate filing of procurement documentation.
- Track supplier payments and submit payment requests to Finance Department.
- Responsible for project and/or inventory in accordance with ARK asset management policies and procedures.
Office Administration
- Handle office administration related issues, including but not limited to supplies and stationery purchases, handling document archives, filing and facilities management.
- Relationship management with existing suppliers, including analysis on value for money.
- Support Senior Management Team with office registration related issues, such as license renewals and liaising with in-country legal councel.
Travel
- Administration of the company travel booking system for project travel.
- Out of hours support for emergency travel bookings.
- Training of new staff on travel system and company travel policy.
- Compiling travel supporting documents for financial reporting and audit purposes.
- Escalating and resolving issues with travel agent as required.
Requirements
- Prior experience in working in international development or donor funded projects.
- A minimum of 5 years of experience in a similar role in Corporate Services or project administration.
- Attention to detail, ability to work independently and with tight deadlines.
- Strong verbal and written English skills.
- Excellent knowledge of Microsoft Word, Excel and PowerPoint.
