POSITION DESCRIPTION
FINANCE AND ADMINISTRATION OFFICER
WADI FOR SUSTAINABLE ECOSYSTEMS DEVELOPMENT NGO AMMAN, JORDAN
Introduction:
WADI for Sustainable Ecosystems Development is a Jordanian NGO seeking to advance water conservation and land stewardship practices to build resilient communities and healthy watersheds by actively engaging local communities in building shared ownership in science-based practices that foster land ethics, sustainable water conservation and land stewardship. WADI will be able to create viable ecosystems by establishing soil and water conservation sites that serve as reference models for scaling watershed restoration techniques. It will also be the knowledge broker for informed restoration decision making that can lead to aquifer recharge and healthy ecosystems in Jordan.
WADI is seeking applications for a qualified individual to serve as Finance and Admin Officer (FAO) based in Amman, Jordan.
Reporting to the NGO Director, the incumbent will be responsible for daily finance / accounting and administration of project support activities, through well-maintained and appropriate office systems.
The position’s specific objectives / responsibilities and tasks are as following: Finance and Accounting:
• Monitor and control project expenditure in line with the agreed budget and in co-ordination with the Director.
• Check, verify and process financial documentation, including purchase orders, invoices and payment to vendors and reimbursement to office staff/consultant and present to authorized signatories for review and signature in accordance with policies and procedures.
• Manage bank payment vouchers and ensure that all bank transactions are properly documented.
• Maintain journal entries of all accounting transactions and input the financial data into the
accounting software.
• Prepare weekly/ monthly expenditure reports
• In charge of preparing donor financial report, quarterly financial report if any and other reports to
the Government or local authorities
• Assist the NGO Director in preparing donor budget for program. Be in charge of monitoring the
spending of approved budget, ensuring the spending complies with donor’s contractual
regulations
• Support the Management Board in developing or updating financial policy and procedures
• Prepare monthly payroll.

• Keep track and process the personal income tax (PIT) for staff and consultants, and compulsory social security contributions.
• Support of internal and external audit
• Manage and disburse office petty cash account
• Any other finance-related issues.
Administration:
• Ensure all NGO human resources are managed and dealt with appropriately and that HR files and databases are maintained for all employees and consultants.
• Assist the NGO Director for all tasks related to HR for the office and projects: recruitment, hiring staff or consultants, labor contract issuance.
• Review staff monthly timesheets and monitor daily staff attendance.
• Assist the NGO Director in developing HR, administration policy and procedures. Monitoring the
compliance and update changes.
• Liaise with government as assigned and with other local authorities about any issues related to the
NGO.
• Assist the NGO Director and other teams/staff in daily administrative routine, ensuring the
smooth running of office and projects.
• Ensure logistics procedures are followed in accordance with procurement guidelines, including
collecting quotations, preparing Purchase Request Forms and Purchase Orders.
• Provide executive and administrative support to the NGO Director.
• Prepare and manage the Director’s schedule of appointments, including arranging official
appointments, receiving visitors, and making travel arrangements.
• Develop and maintain networks and relationships with internal and external stakeholders.
• Organize representational functions as and when needed.
• Manage and coordinate visits, consultants, and overseas visitors including program preparation
and logistical support.
• Undertake required research and provide advice to the NGO Director as needed.
• Coordinate periodic meetings with partners, including drafting project partnership agreements.
• Draft reports, letters, contracts, and agreements.
• Translate letters and documents from English to Arabic and vice versa.
• Any other duties if assigned.

Qualifications
The successful candidate must have:
• University-level (Bachelor level) qualification in accounting.
• At least five (5) year experience in a finance and administration position with responsibilities as
described above.
• Documented experience working with international organizations, such as international non-
governmental organizations is desirable.
• Knowledge of QuickBooks software is highly desirable.
• Proficiency in English and Arabic languages.
• Excellent computer skills including use of MS office.
• Knowledge of national laws on labor, social & health insurance and personal income tax is
desirable.
• Detail-oriented with excellent interpersonal skills and ability to work in a team in a strongly
collaborative manner.
• Ability to work independently, prioritize tasks and to take initiative.
