the incumbent will be responsible for Deputy Director of Planning.

The main responsibilities include:

 Providing support to the Department of Planning as relating to budget and financial issues;

coordinating with the Department of Finance to process expenditures; establishing/

maintaining an internal budget database and tracking all expenditure and budget balances

and providing a monthly status report to the Director and Deputy Director on expenditure

and balances; preparing and following up on payments in respect of special service

agreements, service contracts and temporary assistance requests;

 Organizing logistical and practical preparations in support of Department of Planning

workshops and meetings including requesting/ securing workshop/ meeting venue(s);

organizing participant transportation, accommodation and visas; preparing documents

(photocopying and printing of large documents), as required and organizing translation,

recording, refreshments, etc.;

 Providing support to Department of Planning staff members relating to travel and missions

including the development/ completion of travel requests, securing Travel Subsistence

Allowance (TSA) – ensuring that payments are ready prior to departure, obtaining security

clearances, organizing meetings and transport (UN cars, air tickets etc.), arranging visas

(including follow up with the travel and visa unit and ensuring that visas/ passports are

delivered/ sent to staff members in a timely manner), keeping track of visa expiry dates

and ensuring timely renewal and keeping track of leave balances;

 Providing general support to new and existing Department of Planning staff members,

support that includes following up on UNLP renewal and residency issues, arranging

UNRWA driving tests, providing liaison services in support of securing Jordanian driving

licenses and ensuring that desk space, telephone, email and internet access are available

two days prior to the arrival of new staff;

 Taking minutes of staff and other meetings, as required. Circulating draft meeting minutes

and following up with participants and ensuring accuracy of same. Assisting in the

preparation of reports to United Nations bodies, including the UN General Assembly and

key donors;

 Developing/ maintaining and managing a Department of Planning hardcopy and/or

electronic filing system and maintaining/ updating the department’s shared drive and

group calendar in Outlook. Managing the meeting schedules of staff members;

 Assisting in the preparation of yearly work plans and budgets, (coordinating the

consolidation of a joint work plan and budget);

 Ensuring that stationary, printer and other office supplies are available, and that office

equipment is maintained in good working order.

To qualify for this position, you will need:

Education A university degree from an accredited educational institution in business

administration, public administration or a related discipline, or

Office business training is highly desirable.

Work

experience

Three years of relevant experience, preferably in administration, human

resources and/ or office management.

Language(s) Good command of written and spoken English.

Desirable qualifications:

 Knowledge of the Agency’s rules and regulation related to Administration and Human

Resources;

 Prior experience with other United Nations organizations.

Equivalency

When the minimum requirements are not fully met, the Director of Human Resources may

exceptionally substitute part of the unmet requirements with a combination of relevant

academic qualifications, additional professional training and progressive relevant work

experience.

NB: Work experience alone or formal qualifications with no relevant work experience are not

considered an acceptable combination.

Conditions of service

Monthly basic salary JD 843.50. Other benefits include monthly Provident Fund contribution

(15% of basic salary paid by the Agency), compulsory medical insurance, 30 days of annual

leave, and dependency allowance (if applicable).
