Org. Setting and Reporting

The Administrative Officer C reports to the Registrar of the UNRWA Dispute Tribunal.

Responsibilities

– Assists the Registrar with the receipt, registration and case management of appeals filed with the UNRWA Dispute Tribunal, including but not limited to, receiving, transmitting, filing and storage of all documents related to each case file, both in hard copy and electronically; drafting routine correspondence to parties; and maintaining case management spreadsheets and other related documents.

– Assists the Registrar in managing and administering the human, financial and other resources allocated to the Registry and in advising the Registrar on administrative, personnel and logistical matters related to the Registry’s operational activities, including but not limited to, preparing monthly attendance sheets for all members of the UNRWA Dispute Tribunal, preparing all documents related to travel of members of the UNRWA Dispute Tribunal, making all logistical arrangements for travel, hearings and outreach/training sessions, and making all purchases and drafting service contracts as needed for the functioning of the UNRWA Dispute Tribunal, including liaising and following up with the Budget, Finance and Procurement Departments.

– Reviews incoming e-mails to the Registrar account and prepares responses.

– Responsible for inputting data, updating and maintaining the electronic and hard copy case management systems for the UNRWA Dispute Tribunal.

– Assists in the dissemination of the decisions, rulings and judgments of the UNRWA Dispute Tribunal.

Education

A university degree from an accredited educational institution in business administration, law or related field.

Work Experience

At least two years of experience as an administrative officer in a public or business organization or institution
Experience in providing administrative support in a law-related setting (desirable)

Languages

Good knowledge of written and spoken English and Arabic

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

Type of Contract: Fixed Term Appointment

Duration of Contract: 3 years including 1 year probation period, with the possibility of further extension, subject to the availability of funds, satisfactory performance and continuing need.

This vacancy notice is open to internal and external candidates. Only candidates residing in Jordan with authorization to work in the duty station at the time of application are eligible to apply. The Agency will not assume responsibility or accountability to support or facilitate the issuance of work permit in Jordan, and without a valid work permit, the appointment may be rescinded.

The incumbent may be required to travel in the Agency’s area of operations.

Condition of service:

Monthly basic salary JD 780.00. Other benefits include monthly Provident Fund contribution (15.2% of basic salary paid by the Agency), compulsory medical insurance, 30 days of annual leave, and dependency allowance (if applicable).
