Admin Assistant (Travel and Protocol) SC5

Within delegated authority, the Admin Assistant will be responsible for the following duties:
- Manage all of the travel related procedures such as, travel authorizations, travel allowances, flights booking, payments, travel expense claims, and temporary assignments when applicable.
- Review the travel agents’ invoices and assist finance in the settlement procedures.
- Manage all of the procedures related to the residencies of the international staff and their dependants; submit all requests to the Ministry of Foreign Affairs.
- Facilitate the visa process for staff members entering and/ or leaving Jordan.
- Manage the custom clearance procedures for the incoming WFP’s assets and personal items of the international staff members.
- Ensure a timely registration of the newly arrived vehicles, and handle the required periodic extensions.
- On a regular basis, record, track, report and follow up on all Protocol related actions.
- Ensure proper Archiving of all Protocol documents (both hard and soft copies).
- Provide training and guidance to the staff members, with a focus on the proper interpretation of WFP’s Protocol procedures, policies, and the use of the corporate systems. As to ensure a high quality and consistency of services to the targeted audience.
- Generate Protocol and Travel reports on a regular basis, and when required.
