Administrator – National Position (Jordan National Only)

Closing date

Starting: May 2021

Duration: 12 months – Full-time

Deadline Application: 15 April 2021 – 5pm Amman Time

The Administrator will ensure that the administrative, financial and logistic systems and procedures are in compliance with ARCS and donor standards.

This role involves drafting solicitations, contracts, organizing and storing documents, creating purchase orders, updating records, and responding to procurement related inquiries and issues.

The Administrator is also responsible for reviewing cost reimbursable financial reports and invoice documentation to process payments for contracts and subawards.

The Administrator will also act as ARCS Focal Point for Social Security and Income tax Departments.

Qualifications and Required skills:

  • Degree (technical specialization) or other diploma supported by specific working experience in economics, accounting, finance, administration, or other related fields;
  • Excellent knowledge and fluency in Arabic and English languages, both oral and written;
  • Relevant experience in technical work for administration and finance fields with INGOs in humanitarian/emergency/development sectors is a strong asset;
  • Experience and knowledge in assistance of effective financial and budgetary control and for managing grants;
  • Good command of MS Office (Word, Excel, PowerPoint) and Google Drive platform;
  • Organizational capacity & time management;
  • Communication skills and negotiation/trading capacity;
  • Team work capacity;
  • Ability to work independently whenever required;
  • Creativity and problem-solving attitude;
  • Good interpersonal organizational skills;
  • Ability to work under pressure and to handle several tasks at the same time;
  • Valid Driving License;
  • High interest in human rights issues;
  • Strong commitment to ARCS INGO values.

Scope of the Role:

  • Project logistic organization;
  • Support logistics related to field and office needs (e.i. goods purchasing, utilities payment, cars and office premises maintenance, deliver or collect documents/items etc.);
  • Back in translation for ARCS Head of Mission and any other international staff;
  • Prepare payment vouchers, receipts and, salary slips;
  • Keep office inventory updated;
  • Secretarial services;
  • Collect and organize all the supporting documents related to projects/office expenditures;
  • Maintain the accounts complying with relevant Donor and ARCS’ procedure in collaboration with the Project managers;
  • Guarantee a proper archiving of the project’s documents;
  • Act as ARCS Focal Point for Social Security and Income tax Departments, as well as other ministries based on needs;
  • Perform any other duties relating to the nature of the job as directed by the Head of Mission.
