Place in the Organisation

Based on location, the incumbent may be responsible to either the Chief Area Office, Chief of Programme, Head of Support Department and/or Administrative Officer, as applicable.

Primary Duties and Responsibilities: 

  • Performs a full range of office management and administrative support functions providing direct assistance, depending on post location, to Chief of programme/ department head or area office; monitors the schedule/s of supervisor/s and arranges for meetings and appointments; screens visitors and telephone calls;
  • Handles incoming and outgoing mail, ensures that supervisor is aware of items of special interest, classifies and files documents including confidential material and dispatches mail;
  • Responds to and drafts responses to a wide range of correspondences and other communications as requested by supervisor and officers in the department/programme, uses standard word processing packages to produce a wide variety of documents and reports;
  • Provides support to committees, ad hoc tasks forces, etc., drafts and circulates agenda notes to members/participants, drafts minutes of meeting and monitors follow-up actions;
  • Assists in the preparation of the budget; records and monitors expenditure against allotted fund, orders supplies for Departmental/Divisional use and supervises distribution, maintains inventory records of supplies and prepares survey reports as required;
  • In Support Departments coordinates with concerned parties on all HR matters, including new appointments, separations, overtime and letters;
  • Acts as a focal point for Reach support services and provides first line assistance to users in Area Offices and Support Departments, drafts and operates Micro Purchase Order, Purchase Orders and Requests Service Entry Sheet as requested;
  • Performs other duties as may be assigned by the supervisor(s).

Minimum Qualifications:

Academic and Professional qualifications

  • Successful completion of full secondary education;
  • Successful completion of two-year post-secondary course in business and office practice or related discipline;
  • Very good skills in using Microsoft Word, Excel, PowerPoint, Access.

Nature and extent of required experience

  • Four years of experience in administrative work;
  • Applications from holders of first university degree in business administration with two years’ experience will be accepted.

Language

  • Good command of spoken and written English and Arabic

Equivalency

When the minimum requirements are not fully met, Field Director for Field Area staff and Director of Human Resources for Headquarters Area staff, in consultation with the concerned supervisor may exceptionally substitute part of the unmet requirements with a combination of relevant academic qualifications, additional professional training and progressive relevant work experience.

NB: Work experience alone or formal qualifications with no relevant work experience are not considered an acceptable combination.
