1. Role Purpose

To provide professional human resources support to managers,



supervisors and staff and implement specific HR initiatives at the provincial level.

2. ACCOUNTABILITIES

• Professional human resources support and guidance to line managers and supervisors :

Regularly meet with Area Sales Manager, Services Manager/Supervisors,

Customer Services Manager and other functional managers and supervisors in the assigned area to discuss,

action and follow up on local HR issues, and to gain support in implementing HR programmes and initiatives at local level

Ensure that HR policies and procedures are communicated, implemented and consistently applied with the involvement of managers and supervisors

Provide advice to management and facilitate employee relating to staff performance and disciplinary related issues.

Advise on and assist with the preparation of necessary documentation including warning and termination letters.

• Professional human resources support and guidance to employees:

Respond to employee’s HR-related queries

Maximise contact and interaction with employees in the assigned area through visits

to main stations, substations, express centres, other work locations and company provided accommodations

Hold regular dialogues with the Employee Action Team representative.

• Effective management of personnel database and leave/ticket tracking system:

Maintain accurate and up-to-date centralised personnel files and electronic records database on all DHL employees Maintain

accurate and up-to-date leave tracking and monitoring system.

Produce and analyse relevant reports on staffing as required.

• Effective implementation and monitoring of the medical insurance scheme:

ECarry out complete administration of the ALICO Employee Medical Benefits Programme at the provincial level.

Initiate enrolment and cancellation of employees and approved dependents in the programme

Present and facilitate claims for approval to the insurance company and keep accurate records of claims paid out.

Monitor and follow-up required reports form the insurance company.

• General personnel administration:

Maintain a secure and up-to-date manual personnel file system

Perform general personnel administration tasks such as preparation of ECS forms, leave application process, submission and monitoring of medical claims,

visit visas and work visa processing through the sponsor’s office.

Maintain effective system for monitoring employee absenteeism.

Maintain electronic flagging system to initiate contract renewal for all annually contracted staff.

Prepare employment offers and contracts for approval and issuance as directed.

• Administration of local employee recognition scheme:

Locally administers the Employee of the Month Award and the regional awards for Employee of the Month,

Salesperson of the Month and Long service awards as directed by the Human Resources Manager. Prepare payments and Certificates for above.

• Support for DHA-CO HR initiatives:

Provide assistance to Country Office HR to complete HR related tasks and strategic assignments.

• Administrative support in the recruitment of new employees:

Carry out sourcing, screening and shortlisting of candidates for vacancies.

Circulate internal advertisements.

• Coordination of employees’ exit process: Schedule exit interviews

Arrange final exit of leaving employees in area of responsibility.

Co-ordinate with Finance department to prepare the final settlement.

KNOWLEDGE, SKILLS AND EXPERIENCE

• Education: University degree or equivalent

• Experience: At least 2 years in HR administration or similar experience.

Knowledge of the Saudi Arabian Labour Law an advantage

Database management.

• Technical Knowledge/Skills:

Very good computer skills, particularly in MS Office Package (Word, Excel, PowerPoint).
