Finance Assistant

ActionAid Arab Region Initiative (AAAR) is looking for Finance Assistant who is responsible for timely and efficient payment and receipt processing in accordance with policies and statutory requirements. The role involves managing cash flow in the bank and petty cash so that the Arab Region’s operations including donor Funded Projects run smoothly and activities are carried out as planned.

Job Title: Finance Assistant

Department: Finance & Administration

Accountabilities

Key Accountabilities / Responsibilities:

  • Preparing and processing all bank, cash payments and journal entries along with adjustment Vouchers
  • Review supporting documents and ensure that invoices/bills are authentic.
  • Process Data entries into Sun Accounting software.
  • Attach complete documentation along with the payment requests and obtain relevant approvals on the vouchers and ensure proper filing.
  • Responsible for safe custody of cheque books, cancelled cheques and used cheque books for reference.
  • Prepare payments and receipts on timely basis.
  • Maintain Petty cash in Amman office in local and foreign currency.
  • Maintain Petty cash in Amman office and records and replenish cash as per the limit mentioned in Local finance policy.
  • Prepare the physical cash count of local and foreign currency on daily/monthly basis.
  • Responsible for safe custody and security of petty cash.
  • Prepare payments according to signed contracts.
  • Ensure availability of new cheque book for every bank account and request new cheque books in advance before utilizing all under use books.
  • Complete every cheque book stub with all payment details for any future reference.
  • Prepare monthly bank reconciliations of all active bank accounts
  • Disburse travel and partners advances on time after proper documentation
  • Update staff advances registers upon issuance of advances
  • Settle staff advances and other Consultants, Short Term vendors.
  • Deduct Tax and Social Security at source as per the Income Tax and SS Laws of Jordan and deposit with relevant tax authorities
  • Prepare Tax returns and statements for submission with the government offices.
  • Data entry into Sun system.
  • Extracting reports and ledgers from Sun system: Cash, bank, tax, advances.
  • Facilitating External and internal audit as and when required.
  • Ensure effective filing of:
  • Cash payment and receipts vouchers, bank payment vouchers and JV entries
  • Bank correspondence and advices.
  • All other internal communications and memos.

Person Specification

Education & Certifications

  • A Bachelor’s degree in Business Management/Business Administration with majors in Finance & Accounting.

Essential Experience

  • One to two years relevant experience from a reputable organization, fresh graduates are encouraged to apply
  • Basic knowledge of finance and accounting systems in the country
