The International Catholic Migration Commission (ICMC) is an international non-governmental organization whose global mission is to protect and serve uprooted people, including refugees, asylum-seekers, internally displaced people, victims of human trafficking, and migrants, regardless of faith, race, ethnicity or nationality. ICMC advocates for rights-based policies and durable solutions directly and through a worldwide network of member bishops conferences, and alongside government and non-governmental partners. The organization is headquartered in Geneva, Switzerland.
Since 2002, ICMC has been responding to the needs of vulnerable populations affected by conflict in the region. As a registered INGO in Jordan, ICMC provides its services across five governorates in the country including Irbid, Mafraq, Zarqa, Jerash and Ajloun. Its regional office is based in Amman and two field operations offices are located in Irbid and Mafraq, each of which include a dedicated protection center. ICMC provides comprehensive humanitarian and development assistance in the protection (including child protection and gender-based violence), education, livelihoods, basic needs and shelter sectors. ICMC has been able to successfully deliver multi-sector projects through funding from BPRM, DG ECHO, OCHA, the Australian Embassy and private donations.
Currently, ICMC is providing humanitarian and development assistance to refugees and host communities in Jordan with funding support from the U.S. State Department’s Bureau of Population, Refugees and Migration (BPRM), the United Nations Office for Coordination of Humanitarian Affairs (OCHA), and foundations/trusts.
The Administrative Assistant is responsible for the provision of administrative support to the ICMC Jordan country staff, including promoting and following for the strict implementation of the ICMC administrative policies and procedures.
a. Provide administrative support to the ICMC Jordan country staff.
b. Prepare official correspondence in English and Arabic for external parties and the Jordanian authorities as requested by supervisor.
c. Assist the Office Manager and Jordan country team with translations when required.
d. Provide administrative support to ensure efficient operation of office.
e. Handle the office petty cash and ensure all office utilities and telephones are paid in time.
f. Maintain supplies inventory by checking office and stationary stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
g. Track mail between Offices.
h. Follow up with suppliers on tax- exempted invoices.
i. Follow Up with Zain and Orange Co. to activate / deactivate sim cards and ensure to Keep an updated tracking list.
j. Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
k. Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories.
l. Perform any other administrative duties as required.
Communication and Coordination:
a. Establish good and regular communication with ICMC partners and counterparts.
b. Establish good communication and coordination with all ICMC departments and project staff.

a. University degree in Social Work or related.
b. Minimum two (2) years professional experience, preferably in the NGO sector.
c. Proven experience in administration.
d. Excellent writing and communication skills in both Arabic and English.
e. Proven experience in translation of various official documentation.
f. Excellent command of MS Office and other computer programs, including good typing skills.
g. Excellent team working skills and ability to work in a multicultural environment and under pressure.
